Getting Started
Login to Your Account
Use your assigned email and password to login. The default admin account is aman@aimfoxllp.com with password Caaman18@.
Explore the Dashboard
The Dashboard tab gives you a 360Β° view of all properties, occupancy rates, recent activity, and key metrics at a glance.
Add Team Members
If you're an admin, go to Users tab and click "Add Team Member". Each user gets their own login and role-based access.
Set Up Property Data
Go to Properties tab to add your properties, or All Units to manage existing units. Property managers can add new properties with multiple units.
Start the Workflow
The complete workflow goes: Vacant Unit β Schedule Showing β Application β Lease β Key Handover. Each step has its own tab with full management.

Complete Workflow (Unit β Tenant)
Follow this end-to-end workflow to take a unit from vacant to occupied:
1. Vacant Unit
A unit becomes available β either currently vacant or with a lease ending soon. View these in the Vacant Units tab. The dashboard shows units becoming vacant within 2 months.
2. Schedule Showing
A prospect is interested. Go to Showings tab β Click "Schedule Showing". Choose the unit (vacant + upcoming units appear), select date/time, and assign an agent.
3. Submit Application
If interested after the showing, the prospect applies. Go to Applications tab β Click "New Application". Track through Submitted β Verification β Confirmation β Accepted/Rejected.
4. Generate Lease
Once accepted, generate the lease. Go to Leases tab β Click "Generate Lease". Select the accepted application β tenant info auto-fills. Track through Generated β Signed β Active.
5. Key Handover & Payment
After lease signing β collect payment and hand over keys. Go to Key Handover & Payment tab β Add record. Track payment method (Check, Cash, Zelle, etc.) and schedule key handover. Mark complete when keys delivered.
6. Tenant Moved In!
Unit is now occupied. The lease becomes active and the unit is removed from vacant lists. Track expiry in Expiring Leases for renewal management.

Quick Refresh
Click "Refresh Data" button anywhere to pull the latest from Google Sheets. Useful after manual edits.
Use Filters
Every list has powerful filters β Property, Type, Status, Days Vacant. Filters stick when scrolling.
Click to Call
All phone numbers in tables and cards are clickable. Tap to dial directly from your device.
Strong Passwords
Click "Generate Secure Password" when adding users to create unbreakable 12-character passwords.
Plan Ahead
Use the 2-month vacancy window in Vacant Units to start showing units BEFORE they're empty.
Custom Roles
For unique team members, use the "Custom" role and check exactly which tabs they need access to.
Daily Check
Start each day with the Dashboard β it shows what needs urgent attention (alerts, expiring leases).
Backup Notes
Personal notes in Availability and Handover are saved per user and persist across sessions.
Auto-Fill
When generating leases, select the accepted application to auto-fill all tenant details.
