Getting Started

Login to Your Account

Use your assigned email and password to login. The default admin account is aman@aimfoxllp.com with password Caaman18@.

Explore the Dashboard

The Dashboard tab gives you a 360Β° view of all properties, occupancy rates, recent activity, and key metrics at a glance.

Add Team Members

If you're an admin, go to Users tab and click "Add Team Member". Each user gets their own login and role-based access.

Set Up Property Data

Go to Properties tab to add your properties, or All Units to manage existing units. Property managers can add new properties with multiple units.

Complete Workflow (Unit β†’ Tenant)

Follow this end-to-end workflow to take a unit from vacant to occupied:

1. Vacant Unit

A unit becomes available β€” either currently vacant or with a lease ending soon. View these in the Vacant Units tab. The dashboard shows units becoming vacant within 2 months.

2. Schedule Showing

A prospect is interested. Go to Showings tab β†’ Click "Schedule Showing". Choose the unit (vacant + upcoming units appear), select date/time, and assign an agent.

3. Submit Application

If interested after the showing, the prospect applies. Go to Applications tab β†’ Click "New Application". Track through Submitted β†’ Verification β†’ Confirmation β†’ Accepted/Rejected.

4. Generate Lease

Once accepted, generate the lease. Go to Leases tab β†’ Click "Generate Lease". Select the accepted application β€” tenant info auto-fills. Track through Generated β†’ Signed β†’ Active.

5. Key Handover & Payment

After lease signing β€” collect payment and hand over keys. Go to Key Handover & Payment tab β†’ Add record. Track payment method (Check, Cash, Zelle, etc.) and schedule key handover. Mark complete when keys delivered.

6. Tenant Moved In!

Unit is now occupied. The lease becomes active and the unit is removed from vacant lists. Track expiry in Expiring Leases for renewal management.

Frequently Asked Questions

How do I add a new team member?
Only admins can add users. Go to Users tab β†’ Click "Add Team Member" β†’ Fill in name, email, phone, password β†’ Choose role preset (Admin/Manager/Agent/Custom) β†’ Click "Create User". The new user can immediately login with the email and password you set.
Can I change a user's password?
Yes! Go to Users tab β†’ Click the Edit button next to any user β†’ Enter a new password (or use "Generate Secure Password" button). Leave password blank to keep the existing one. Click "Save Changes".
Can the default admin account be deleted?
No. The default admin (aman@aimfoxllp.com) is protected and cannot be deleted to prevent accidental lockout. However, you can edit its name, password, phone, and avatar β€” just not delete it.
How does the "next 2 months" vacancy window work?
In Vacant Units and Schedule Showing, the system shows currently vacant units PLUS units becoming vacant within the next 60 days (based on lease end dates). This lets you proactively schedule showings for upcoming turnovers.
What timezone is the dashboard in?
All times are displayed in Central Standard Time (CST - Chicago). The My Availability tab even shows a live CST clock. Dates throughout the system use CST regardless of your browser's timezone.
How do agents share their availability with managers?
Agents go to My Availability β†’ Click "Add Time Slot" β†’ Set specific date and time range (e.g., April 25, 10:30 AM - 12:30 PM). Admins and Property Managers can toggle "All Agents" view to see everyone's availability in one place.
What payment methods are supported in Key Handover?
The dashboard tracks 8 payment methods: Check (with check # and bank name), Cash, Bank Transfer, Zelle, Venmo, Credit Card, Money Order, and Other. Each has its own status flow: Pending β†’ Received β†’ Cleared (or Bounced).
Where is data saved?
User accounts, availability schedules, and handover records are saved in your browser's localStorage. Property data, leases, and applications sync to the connected Google Sheets backend. If the backend is down, you can still use most features with locally-saved data.
Why don't I see all tabs?
Tabs are shown based on your role's permissions. Contact your admin to grant additional access. Admins can edit any user and add specific tab permissions using the checkboxes in the user edit dialog.
How do I export data?
The All Units tab has an "Export CSV" button. The Expiring Leases tab has an "Export PDF" option. For other reports, you can use the print function (Ctrl+P / Cmd+P) on any page.
